Choosing the right printer can be a daunting task. There are several types of printing technologies to choose from, each suited for different needs. Printers come in all shapes and sizes, from tiny travel companions to work group workhorses; some are geared toward photographers, others are for multitaskers. And the many specifications for resolution and speed can be misleading. As a loose rule of thumb, inkjet printers like the HP Photosmart 75and the Canon Pixma MG3220 are a must for vibrant colors and long-lasting photos, whereas Canon’s ImageClass MF30and similar laser printers are best at producing speedy text documents. To get started, you’ll need to decide which of the following profiles best fits your user type.

Sorting out the specs

When evaluating printers, the first thing you’re likely to see is a long list of specifications chock-full of acronyms such as dpi and ppm. Not only are all these specs confusing, but they also often have little or no bearing on the performance you’ll actually get in the real world. Here’s how to keep it all straight.


One of the most widely cited specifications, the resolution, refers to the maximum number of dots per inch (dpi) that can be printed, measured both horizontally and vertically. For example, a 600x600dpi laser printer lays down a 1-inch square composed of 600 dots both vertically and horizontally.

Frequently, you’ll see resolution with different values for horizontal and vertical. That’s because while the printhead has a fixed number and density of nozzles that determine the horizontal resolution, the vertical resolution is determined by the increments at which the paper feed mechanism can reliably move the paper through the printer.

Print speeds

This spec measures how many pages or photos per minute (ppm) a printer spits out. Sounds pretty straightforward, right? Unfortunately, it’s not so simple. To come up with the fastest-possible speeds, some manufacturers test using basic text documents at the lowest-quality print settings (Draft mode) on plain paper — not exactly a real-world test. Based on our experience, you can expect to see about half the speed promised by the manufacturer.

In recent years, the International Organization for Standardization (ISO) developed a set of standard documents and criteria for measuring and reporting print speed (here’s a marketing-speak-free description).

These are a mixed blessing. While all the manufacturers now report their speeds for a common test, and the standard mandates that all tests be done at the default settings, it doesn’t mandate that the manufacturers report what those default settings are. So the so-called “apples to apples” comparisons aren’t, and buyers are just as much in the dark as they ever were.

A touch noisy

The notion of the large, expensive laser printer should have long been dispelled and if nothing else can do that then the Ricoh SP-213w will. This small-footprint mono printer costs less than many inkjets but has the capability to provide basic wireless-based print services to a home office or smaller office. With a monthly duty cycle of 20,000 pages per month, a 1200 x 600dpi print resolution and a print speed of up to 2pages per minute, its small size shouldn’t hide the fact that this could be a little workhorse. Beyond these basics, the Ricoh SP-213w offers manual duplex, a Print and Scan mobile app, support for PCL and a two-year pan-European warranty.

Mono only

If you want an affordable printer for your business that excels in black and white print quality – and is a speedy performer to boot – then you really can’t go wrong with the Samsung Xpress M2835DW. Its small and compact body contains a huge host of features, and its easy to use and understand buttons makes quickly firing off prints a piece of cake.

It supports both wired and Wi-Fi connectivity, runs quietly and can even be controlled via smartphone. Its Eco mode allows you to control the amount of power and ink it consumes while printing, and overall this is an absolutely fantastic business printer.

Low print resolution

There was a time, not so long ago, when colour laser printing was exorbitant. That has fortunately changed with the likes of the Ricoh SPC-240DN doing their best to bring prices down. This is a massive printer at nearly 24kg so you will need to have a strong back and enough desk space to take it on board. Its starter toner kit will produce around 1000 pages and probably better than inkjet ones which dry out with time. It can print up to 1pages per minute (colour or mono) and has a duty cycle of 30,000 pages per month. It offers both Ethernet and USB ports and, with a 250-page input paper tray, has enough to make a small office pleased. However, at 600 x 600dpi, its print resolution may leave some wanting for more.

Not the quietest machine at times

Ricoh makes it four in our shortlist with the SG-2100N, a bargain basement printer that brings together the best of inkjet and laser technology. It delivers the sort of performance usually associated with devices costing three times its price. A water insoluble, viscous ink combined with a higher-than-average print resolution and a print speed – 29ppm – that surpasses anything at this price range (albeit in draft) make this Ricoh printer one of the best on the market for very small offices. Other features worth noting are manual duplex capabilities, a two-year onsite warranty (parts and labour), a well thought out design, affordable consumables, an Ethernet port and a generous input paper tray.

Not much of a looker

This is a heavyweight colour laser multifunction device intended for small business or workgroup use. Its slabby black and white design is functional and includes a large touchscreen for control, though the printer is only rated up to a recommended 3,000 pages per month. The MFC-L8650CDW includes a 50-sheet automatic document feeder which handles duplex scans and the printer offers duplex copying and printing as well; a welcome surprise! It’s rated at 28ppm for both black and colour prints dropping to about seven sheets when printing in duplex. It can handle input from USB, Ethernet or via wireless hook-up, with support for iOS and Android mobiles. A USB port offers scanning to and printing from USB drives.

Know Your Printing Needs

There are printers for every need under the sun but rare is the printer that can fulfill many needs well. The challenge consumers face when shopping for a home printer is finding a printer that meets most of their needs and does so economically.

The first step in printer-shopping nirvana is to start your search with a very clear picture of what your printing needs are. Think back over what you’ve printed lately and what you plan to print in the future. Do you print mostly black and white text copies? Color photos? Color proposal drafts for your home business? What kind of printing you do is the biggest factor in what kind of printer you should shop for. The key is to buy a printer for the work you’re doing, not the work you think you might be doing in the future (in other words: buy the printer for the business reports you print now, not the colorful scrap book pages you wish you had time to work on).

When buying a printer, remember that the price you pay in the store is just the beginning. Be sure to consider the cost of replenishing toner and other consumables over the lifetime of the printer. This is particularly important if you print a lot. A set of toner cartridges can easily approach the cost of a colour laser printer.

Most manufacturers quote a ‘page yield’ estimate for their ink cartridges, which is the typical number of pages you can expect to print before the cartridge runs out of ink. You can use the page yield to calculate the average cost per page and you’d be surprised to find how much this can vary from one printer to another.

Of course, if output quality matters more to you than cost, scoot over to the other end of the cost spectrum where there are more specialised printers that use five or even six inks for printing photographs. Those additional inks can produce excellent results for your photo prints, but they add to the cost, sometimes pushing the cost for photos up to 10p or more per page.

Print speed and additional features

Speeds quoted by manufacturers are almost never matched by real-world performance. If you often need to print in a hurry, look for independent reviews when choosing your printer.

Other useful features to look out for include additional USB ports and memory card slots that will allow you to print photos direct from a camera.

High-capacity paper trays capable of holding hundreds of sheets of paper, or an automatic document feeder that can handle scanning and copying work while you go and do something more important, may be worth looking out for.

Double-sided printing is handy for halving your paper usage.

It’s also worth thinking about the bundled software that comes with your printer. Some printers include software that provides basic editing features, such as red-eye removal or adjusting the colour balance – some even allow you to perform simple editing tasks using controls on the printer itself.

Padded Envelopes

Padded envelopes, or bubble bags as they are also known, have an exterior made from heavy paper with a padded interior of either recycled newsprint or bubble wrap. As a result, these envelopes are ideal for sending clothing, DVDs, books and other small items as they help to prevent contents being damaged in transit. Gusseted Envelopes

If you have oversized items you need to post, such as catalogues, books or folders, gusseted envelopes have a v-base which expands to offer increased space for larger documents. They have a folding flap around three sides and are available in different thicknesses, between 20mm and 70mm.

As heavier items are usually sent in gusseted envelopes, it’s important to consider the paper quality when buying these envelopes. The heavier the weight of the paper (measured as gsm), the greater the strength and durability. 90gsm to 155gsm gusseted envelopes are available in a range of sizes, including C4, Band Denvelopes, with peel and seal or press seal closing options.

CD Envelopes

CD envelopes are specially designed for the safe shipping CDs and have an all-board or a corrugated board construction to provide comprehensive protection while in transit. These envelopes have self-adhesive closures and usually come with a tear-off strip for easy opening.

Internal Mail Envelopes

Internal mail envelopes are used to send confidential and private documents within offices. They can be reused as there’s space on the front of these envelopes to write recipient’s names. Depending on whether you use a Cor Cenvelope you can write up to 36, 50 or 100 names. Understand Your Businesses Digital Copier Needs

Before choosing a digital copier, understand your company’s needs. Here are three factors to consider first:

Print volume: How many copies will you need to make at a time? The “tray” capacity indicates how many sheets of paper can fit in the external tray after copying has finished. The “cassette” capacity tells you how many sheets can be loaded into the machines internal supply of paper. Starter models typically have room for 100 sheets in the tray and 250 in the cassette, but larger copiers can accommodate up to 2,500 sheets in the tray and 2,000 sheets or more in the cassette. Some copiers include multiple internal cassettes. 

Print speed: The speediest digital copiers can spit out 100 copied pages per minute (ppm), while lower-end machines start around 2ppm. You might also want to check the “first copy out” speed – that ranges from 3.to 7.seconds.

Graphic capabilities: Production copiers can produce higher quality images with resolutions up to 2,400 x 2,400 dpi, and more accurate colors thanks to special color management controls. These models are only necessary if you require exact color reproduction of your source material, though.

Digital color copier

Since color copiers are so much more expensive than their monochrome counterparts, carefully weigh whether you need that functionality before investing. It might be more cost-effective to outsource the occasional color job than to purchase a full color copier for your office, depending on how often you’ll need it.

Paper supply

A cassette inside your digital copier feeds paper into your digital copier. Paper size

Different digital copiers can accommodate different paper sizes, with the primary determining factor being the size of the copier itself. All-in-one systems are typically limited to standard 8.x 11-inch sheets, while higher-end systems can handle large sheets of thick cover stock (with the cap typically around 1x 1inches). Some systems can also handle envelopes and other non-standard paper.
