Postage Meters For Small Business

More advanced postage meters offer additional features and services, including automatic and semi-automatic feeding, weighing and printing; the ability to print QR codes and marketing messages on your envelopes at the same time your postage is calculated and printed; and heavier-duty scales for weighing heavier non-flat packages and determining the correct postage amount. With these additional features, you can automate a large portion of your mailing activities while improving your marketing reach and your open rates.

The DM300 is a quiet, compact model that has many great features designed to make mail processing a quick, easy job. The semi-automatic machine can process around 7letters a day and has the capabilities of many larger machines.

Postage Meter

A postage meter is a mailing system that prints postage directly on the envelope (or an adhesive tape) for any type of mail — first, second, third, or fourth class; air mail, registered mail, special delivery, or other special services.

The meter is the critical part of your mailing system. It prints the indicia and stores the postage.

The base is essentially an envelope handler, designed to transport the item to be stamped through the meter. The four main parts of a base include the feeder, sealer, stacker, and tape dispenser.

A feeder guides envelopes through the meter. Although you can get a low-end meter without a feeder, feeding a large mailing by hand can be pretty tedious.

Stacker

A stacker clears mail from the machine after it is stamped. Low-end stackers are no more than a catch tray placed at the edge of the meter. Power stackers can stack more envelopes by using a conveyor mechanism to move the stamped pieces away from the meter’s edge.

Tape Dispenser

In some cases, it is not possible to print an indicia directly on to a mailing piece – like with a large package. In these cases, strips of adhesive paper, called tape, are fed through the meter and affixed to the package. The tape is stamped with the indicia or postage amount.

Low Volume Postage Machines

Designed for smaller offices and low-volume mail rooms, these machines offer postal activity monitoring per mail class, operator, and department to help you manage your postage expenses. Processing speed ranges between 1and 40 letters per minute. Models include:

Data Pac

Data Pac is America’s newest postage meter company, and the first to receive USPS authorization in over 2years. The manufacturer offers a wide variety of mailing system products designed for everything from home offices to full mail centers.

Since it’s so new, Data Pac is a much smaller company and hasn’t had as much time to prove itself as regards technology and support. However, you’re likely to find lower prices. Another selling point for many shoppers is Data Pac’s designed and assembled in America promise. If you have low- or mid-volume processing needs, it might be an ideal solution thanks to those cost savings. That isn’t to say to discount Data Pac for high-volume mailrooms, only that you should compare offerings carefully before signing any contracts.

PostBase ONE: This is the top choice for high-volume mailrooms, with high-capacity letter stacking, postage spend analysis, networking capabilities, and 150 piece per minute processing speeds.

Finding the Right Business and Industrial Mailing Machine

Finding the right business or industrial mailing machine to suit your particular business needs depends to a large extent on how much mail you send out on a daily, weekly, or monthly basis.

That may seem an obvious statement to make, but it is actually the key to making sure you choose the right machine for your business activities.

Make Better Use of Your Time

Edit and proofread. Don’t send mail with typos, factual errors, or sloppy grammar. Whatever good message you have will be negated.

Match design to your audience. Know enough about the people you’re targeting to have an idea of which designs work with them and which don’t. A design that attracts teenagers might not work for older households you’re targeting for second-home purchases.

Have a brand identity and hit that identity hard in your mailing. Your audience won’t remember you if you don’t have a strong brand identity to go with your message.

Match mailer size with postage class. If you want to save by using standard mail (third-class) postage, make sure your design falls into the letter category. A half-inch too long will classify your mailing as a flat.

Use the right indicia. The indicia is the marking that shows you’ve paid the postage. Determine the appropriate class of mail—for example, first class or standard mail; then, be sure to print the proper indicia on the piece. 

Fold self-mailers at the bottom. If your piece doesn’t use an envelope, be sure the opening is at the top so that only one tab (the tape that keeps the mailer closed) is required. That keeps costs down and ensures the piece doesn’t get snagged in the U.S. Postal Service’s mail-sorting machines.

Leave room for the address label. It’s easy to forget this from a design perspective. So, check with your mail house to see what size labels they routinely use and leave that space open in your design.

Keep copy out of the bar code area. This is another easy-to-forget design matter. The Postal Service stamps the bar code on the bottom, so keep that area clear; otherwise, their tape could cover your message.
